Egencia is a Williams College specific and recommended on-line travel booking platform that allows you to manage airfare, hotel, rental car, and train reservations. Preferred pricing options are available via the website.

The Williams College Egencia travel solution is capable of booking reservations at local hotels. The Williams Inn is the College’s preferred local hotel solution for College business. Williams College’s policy is to reimburse employees for ordinary and necessary travel and entertainment expenses incurred while on authorized College business travel. These include costs for transportation, lodging, meals and communications. For specific information and guidelines please visit the Controller’s Office Travel Guidelines page.
Williams College maintains a fleet of vehicles available for reservation by Faculty, Staff, and Students to use for local transportation for College related business. Hiring a Driver
If you need to hire a driver for a program to or take someone to the airport or train station, there is a listing of drivers who have been approved by the College to drive a College vehicle. That list, with contact information, can be found at http://facilities.williams.edu/cars-and-drivers/drivers/. The rates (per trip or hourly) are not set by the College but rather by the driver.
Williams College maintains a relationship locally with Enterprise Rent-a-Car and has a preferred pricing agreement with the vendor. The local affiliate will deliver rented cars to the facilities offices on Latham Street for pick-up. For rental reservations outside of the local area, please use the Egencia on-line travel portal for reservations. To provide on-demand availability of vehicles for rent, the College has developed and maintains a relationship with Zip Car. The College does not manage this program in any fashion other than to maintain a relationship with the vendor and provide parking spaces for the vehicles in the parking garage located behind the ’62 Center for Theatre and Dance. To book a vehicle, please follow the instructions on the Williams College Zip Car website and register as a user.
